How to fill in a rent receipt

    1. Add your name as landlord

Use your own name or your property company under From. It's remembered on this device for next month.

    Rent receipt FAQ

Is this rent receipt template free?

Yes. There's no sign-up, no watermark on the PDF and no limit on how many receipts you make. The site is paid for by ads.

What should a rent receipt include?

The date the rent was paid, the amount, the tenant's name, the property address, the period the rent covers, how it was paid (cash, check number, money order or app), a receipt number, and the name and signature of the landlord or agent who received it.

Do landlords have to give rent receipts?

It depends on the state. New York, for example, requires a written receipt when rent is paid in cash, money order or anything other than a personal check, and for personal checks when the tenant asks in writing (Real Property Law § 235-e). Check your own state's landlord-tenant rules. A receipt is a good record either way.

How do I write a receipt for rent paid in cash?

Write "Cash" in Payment method, set Date paid to the day you got the money, and leave Amount received blank if the tenant paid in full. Sign the received-by line, give the tenant a copy and keep one yourself.

How do I make a receipt for partial rent?

Enter what the tenant paid in Amount received. The receipt shows the full rent, the amount received and the balance remaining for the period.

Can one receipt cover more than one month?

Yes. Add a line for each month, such as "Rent, December 1–31, 2026", or add parking, pet rent or a late fee on its own line. Up to 10 lines fit on the one-page PDF.

How long should a landlord keep rent receipts?

For US federal taxes, the IRS says to keep records for 3 years in most cases, and longer in some situations. Some states set their own rules: New York landlords must keep records of cash rent receipts for at least 3 years.

    Where is my receipt saved?

Only in this browser on this device, so it's still here if you reload. Nothing is sent to our servers. Keep the downloaded PDF for your records.
