    How to write an estimate

    1. Add your business and the customer

Your name, address and contact details are shared with the invoice generator and remembered on this device.

    2. Break the job into lines

Materials, labor and extras on separate lines make the price easier to accept. Up to 10 lines fit on the one-page PDF.

    3. Set the validity, tax and deposit

Pick how long the price holds, tick Taxable on taxable lines, and enter the deposit you need to start. Write your payment terms, such as the balance on completion.

    4. Send it, then invoice

The customer signs the acceptance line. When the job is done, "Turn this into an invoice" carries everything to the invoice generator.

Need the price first? Use a pricing calculator, the contractor bid calculator or the markup calculator, then copy the total into a line here. Roofers can size the job with the roofing calculator and start from the roofing estimate template. When the job is paid, send a receipt.

    Estimate generator FAQ

    Is this estimate template free?

Yes. There's no sign-up, no watermark on the PDF and no limit on how many estimates you make. The site is paid for by ads.

Is this an estimate template or an estimate maker?

Both. You fill in the template on this page and the maker builds a one-page PDF estimate you can email or print. There's no Word or Excel file to edit, and the same form works as a quote template.

Can I use it as a contractor or construction estimate template?

Yes. Put materials, labor and extras such as disposal or permits on separate lines, with quantity and rate on each. Price the job first with the contractor bid calculator or a trade calculator such as the roofing calculator, then copy the totals into lines here.

What's the difference between an estimate and a quote?

People use both words for the same document: the price you expect to charge before the work starts. Some trades use "quote" for a fixed price and "estimate" for a price that can change with the scope. Say which one it is in the notes.

    What should an estimate include?

Your business and contact details, the customer's name and address, an estimate number and date, how long the price is valid, a line for each part of the job with quantity and rate, any sales tax, the total, the deposit you need to start, your payment terms, and a place for the customer to accept.

How long should an estimate be valid?

Long enough for the customer to decide, short enough that your material prices still hold. 15 to 30 days is common; pick 60 days for slow-moving projects.

How do I turn an accepted estimate into an invoice?

Use "Turn this into an invoice" under the download button. The invoice generator opens with the same customer, lines, taxable items and tax rate, and a note referring to the estimate number.

    Where is my estimate saved?

Only in this browser on this device, so it's still here if you reload. Nothing is sent to our servers. Keep the downloaded PDF for your records.

Should I ask for a deposit?

Many trades ask for a deposit to book the date and order materials. Check whether your state limits contractor deposits for home improvement work before you set one.
